PIMAVA EstateProof

Prove supervision happened.

EstateProof gives NSW real-estate agencies a structured, privacy-first record of what supervision was required, performed, evidenced, reviewed, corrected and verified — without importing tenant, landlord, property, email or trust-account data.

EstateProof does not certify legal compliance and does not replace Licensee-in-Charge judgement.

The supervision evidence workflow
  1. 1. Control — what supervision was required
  2. 2. Attestation — who confirmed it was performed
  3. 3. Evidence — the reference or record that supports it
  4. 4. LIC review — verified, rejected, or more evidence
  5. 5. Exception — what failed
  6. 6. Corrective action — who fixed it and by when
  7. 7. Remediation evidence — proof of the fix
  8. 8. Verified closure — LIC-verified, timestamped, immutable
How it works

A deterministic workflow, not an opinion engine

Define controls

Configure recurring supervision controls from the NSW starter pack or your own. Each control records its regulatory source separately from EstateProof's interpretation.

Attest and evidence

Staff attest to completion and attach evidence references or secure uploads. Submitting evidence is never treated as verification.

Review, correct, verify

The LIC reviews, opens exceptions, assigns corrective actions with owners and deadlines, and verifies closure. The audit trail is append-only.

Privacy boundary

Business-data-light by design

EstateProof stores

  • • Agency and staff names, roles and contact details
  • • Licence class, number, status and expiry metadata
  • • CPD / training status
  • • Supervision evidence references, hashes and optional uploads

EstateProof does not store or integrate

  • • Tenant, landlord, buyer, vendor or property records
  • • CRM data, emails or SMS
  • • Trust-account transactions, bank or rent ledgers
  • • Maintenance or property files, passports or licences as documents
NSW starter control pack

A starting point, clearly sourced

The starter pack separates the authoritative NSW source from the EstateProof interpretation. It is not a complete list of legal obligations, is not legally certified, and is not approved by NSW Fair Trading.
